Use Secure Print Feature (Network Printers)

Secure Print allows you to print one or more documents to any network printer, which can be retrieved conveniently and securely. The documents are stored in the printer's memory and will not print until you enter a passcode (that you set) to release the jobs. This allows you to print confidential documents to network printers without compromising the confidentiality of the document.

Note: Please see the last section of this article for instructions on how to release documents sent to printers.

 

To print an e-mail securely using Microsoft Outlook:

  1. With the e-mail open, click File, then Print, or press Ctrl+P on the keyboard.

  2. Select the printer you would like to print to, then click Print Options:



  3. In the Print window, click Properties:



  4. Change the Job Type by clicking the drop down menu, and select Secure Print. When you select Secure Print, you will get a pop up window asking you to enter a passcode. This is the passcode that you will enter at the printer to release the document:





  5. Click OK in the Secure Print window to confirm the passcode, and click OK to close the Printer Properties

  6. Click Print to print the document.

 

To print a document securely from other Microsoft Office programs (Word, Excel, etc.):

  1. With the document open, click File, then Print, or press Ctrl+P on the keyboard.

  2. Select the printer you would like to print to, then click Printer Properties:



  3. Change the Job Type by clicking the drop down menu, and select Secure Print. When you select Secure Print, you will get a pop up window asking you to enter a passcode. This is the passcode that you will enter at the printer to release the document:





  4. Click OK in the Secure Print window to confirm the passcode, and click OK to close the Printer Properties

  5. Click Print to print the document.

 

To print a document securely from Adobe Reader/Acrobat:

  1. With the document open, click File, then Print, or press Ctrl+P on the keyboard:



  2. Select the printer you would like to print to, then click Properties:



  3. Change the Job Type by clicking the drop down menu, and select Secure Print. When you select Secure Print, you will get a pop up window asking you to enter a passcode. This is the passcode that you will enter at the printer to release the document:





  4. Click OK in the Secure Print window to confirm the passcode, and click OK to close the Printer Properties

  5. Click Print to print the document.

 

To release a document from the printer:

  1. At the printer, press the Job Status button:



  2. If it is not selected automatically, tap to select the Secure Print Jobs tab:



  3. Tap on your username to bring up the passcode screen. Enter the passcode that you previously set on your computer using the number pad to the right of the touch pad, then tap OK:



  4. A list of jobs you have sent securely will display. Select the job by tapping on it and tap Release to print that job. Tap Release All at the top right to release all jobs listed:
